This says what Valence Dynamics Ltd does with personal data, in plain words. It covers the company: our website, people who get in touch, our customers and suppliers, and people who apply to work with us.

Who we are

What this notice does not cover

• Data we hold on behalf of a customer. When a business uses one of our products, that business decides what is collected and why. They are the controller and we are their processor, acting on their instructions.
• That relationship is governed by the data protection agreement we sign with them, and the people whose data it is should read that business's own privacy notice, not this one.
• Our products have their own privacy notices, written for the people who use them. This notice is about the company.

What we hold, and why

If you visit our website

• Our web server records the request: the address of the page, the time, your browser type and a truncated IP address. This is how the site is kept running and secure.
• We do not use advertising trackers and we do not sell or share anything for advertising.
• Any cookie beyond the ones the site needs to work is set only if you agree to it.
• Lawful basis: our legitimate interest in keeping the site working and secure.

If you contact us

• Your name, your email address or phone number, and whatever you choose to put in the message. We keep the thread so we can answer you and pick up where we left off.
• Lawful basis: our legitimate interest in answering people who get in touch, or taking steps to enter a contract if you are asking about buying something.

If you are a customer or a supplier

• The contact details of the people we deal with, the contract itself, and the records of invoicing and payment.
• Lawful basis: performing the contract, and our legal obligations for accounting and tax.

If you apply for a job with us

• Your application, your CV, notes from any interview, and your references if we ask for them and you agree.
• Lawful basis: taking steps at your request before a contract of employment.

What we never do

• We do not buy personal data, and we do not build profiles of people.
• We do not make automated decisions that have a legal or similarly significant effect on anybody.
• We do not use anybody's personal data to train an AI model.

How long we keep it

• Enquiries that go nowhere: two years from the last message.
• Customer and supplier records: for the contract, then six years from the end of it, because that is what the tax rules require.
• Unsuccessful applications: six months, then deleted, unless you ask us to keep it longer for future roles.
• Website logs: ninety days.

Who else sees it

• We use a small number of service providers to run the business: hosting, email, and accounting. Each acts on our instructions under a written contract.
• We do not share personal data with anyone else, other than where the law requires it.
• The current list of providers is available on request. We will name them here once the list stops changing.

Where it is held

• In the United Kingdom or the European Economic Area wherever we can arrange it.
• Where a provider processes data outside those, we rely on the UK's approved safeguards, which in practice means the International Data Transfer Addendum or an adequacy decision.

Your rights

You can ask us to:

• Tell you what we hold about you, and give you a copy.
• Correct it if it is wrong.
• Delete it, where we have no continuing reason to keep it.
• Restrict or object to what we are doing with it.
• Give it to you, or to somebody else, in a machine readable form, where the data was given by you and is held under a contract or your consent.
• Withdraw consent, where consent is what we relied on. That does not undo anything we did before you withdrew it.

Write to privacy@valencedynamics.co.uk. We answer within one month. There is no charge, unless a request is repeated or excessive, and we will say so before doing anything.

If you are unhappy

• Tell us first, and we will try to put it right.
• You can also complain to the Information Commissioner's Office at ico.org.uk, or on 0303 123 1113. You do not have to come to us first.

Changes to this notice

• We will change this notice when what we do changes, and the date at the top will move.
• If a change matters to you, we will tell you rather than relying on you noticing.
